Office Manager - Middle
Overview:
We are seeking an organized and proactive Office Manager to join our Warsaw office on a fixed-term replacement contract until July 2027, with the possibility of extension. This role is ideal for a detail-oriented professional who thrives in a dynamic office environment and enjoys ensuring smooth day-to-day operations. You will act as the central point of contact for office-related matters and play a key role in maintaining an efficient, well-organized workplace
Purpose of the role:
As Office Manager, you will oversee daily office operations, manage suppliers and service providers, and support internal teams including HR, Accounting, and Administration. You will supervise office maintenance, coordinate in-office events with the Event Manager, and ensure smooth onboarding for new employees.
Key responsibilities:
Oversee daily office operations, including records management, inventory control, mail handling, and supplier coordination
Supervise cleaning staff and ensure the office remains well-maintained and organized
Act as the primary point of contact for all office-related matters, liaising with external suppliers, service providers, and building administrators
Collaborate with internal departments such as HR, Accounting, and Administration to facilitate smooth operational processes
Work closely with the Event Manager to organize in-office events
Manage purchasing documentation, including processing orders, cost control, and maintaining workflow system records
Oversee the WINSTYLE shop, including receiving and distributing orders, tracking deliveries, and conducting periodic inventory checks
Support the onboarding of new employees by coordinating access card issuance and office inductions
Develop and enhance office policies and procedures to improve efficiency and workplace experience
Required Experience:
Proficiency in Microsoft Office (Word, Excel, PowerPoint) or similar applications
Fluency in Russian (B2), English (B2), and Polish (B1+)
Strong organisational skills with the ability to prioritise tasks and manage time effectively
Excellent communication and interpersonal skills
Creativity and initiative in problem-solving and office management
