IT Hardware Procurement Specialist – Senior
Overview:
SOFTSWISS is hiring an IT Hardware Procurement Specialist to join our team. You will take ownership of the full hardware lifecycle: from supplier sourcing and purchasing to logistics, inventory, and equipment data management, supporting our distributed teams across multiple regions.
Purpose of the role:
You will manage the end-to-end hardware procurement and lifecycle processes to ensure employees have timely access to reliable equipment across all locations. Your work will improve operational efficiency, cost control, and data accuracy by standardising procurement practices, streamlining logistics, and maintaining consistent hardware records across the organisation.
Key responsibilities:
Research, compare, and select suppliers to secure the best prices, discounts, and purchasing terms
Manage procurement and logistics of IT hardware across multiple regions, including Asia, Europe, South America, and others
Coordinate delivery and collection of equipment for employees, including shipment, pickup, replacement, and return logistics
Maintain accurate and up-to-date hardware records in 1C
Coordinate the transfer of equipment to service centers for repair and provide the necessary information to responsible colleagues
Manage warehouse inventory and ensure accurate tracking of equipment assigned to employees
Conduct regular inventory checks for warehouse stock and equipment currently in employees’ possession
Standardize and improve the hardware section in 1C, including: maintaining a unified hardware database, introducing a common format for technical specifications, recording warranty periodsclassifying hardware by legal entity, category, technical specifications, condition, and intended use
Collaborate with colleagues involved in hardware selection, purchasing, and related operational processes
Monitor hardware availability across all categories and ensure timely replenishment
Handle procurement-related documentation, including invoices and other purchasing documents
Required Experience:
English level B1 and above
Russian language proficiency
2–3+ years of experience in hardware procurement, IT asset management, logistics, inventory, or a similar role
Hands-on experience with 1C
Experience using Jira and Confluence
Experience in inventory management and warehouse accounting
Experience organizing hardware logistics across different regions
Good understanding of procurement documentation, including invoices
Nice to have:
Experience in supplier negotiations and vendor management
Understanding of warranty handling and repair workflows
Strong organizational skills and attention to detail
Structured approach to documentation and process improvement
