Overview:
SOFTSWISS is looking for an HR Admin Specialist to support day-to-day HR operations across multiple locations. In this role, you will ensure the smooth execution of employee lifecycle processes, maintain HR data accuracy, and provide administrative support to employees and stakeholders.
Purpose of the role:
You will be responsible for managing HR documentation, supporting onboarding and offboarding processes, maintaining HR records, and ensuring efficient collaboration between employees, managers, legal counsels, and cross-functional teams.
Key responsibilities:
Handling employment contracts across multiple locations: Malta, Cyprus, Lithuania, Bulgaria, SA, and Greece.
Communication: Partnering with directors, legal counsels, and employees (managing onboarding, sending change notifications, and requesting/providing necessary details for contract execution).
Reporting: Generating and exporting HR reports upon request.
Time-off Tracking: Managing working hours and time-off records according to internal processes, and sharing this data with cross-functional teams in a timely manner.
HRMS Audits: Conducting regular data audits within the HRMS to ensure data integrity.
Offboarding: Managing employee terminations (closing related tasks, timely data sharing with relevant departments, and updating timesheets).
Timesheet Management: Preparing and maintaining timesheets for specific group entities/companies.
Employee Support: Assisting with the preparation of employment certificates, reference letters, and other official documents upon employee request.
Advisory: Providing guidance on labor law queries to cross-functional teams (in collaboration with local legal counsels).
Required Experience:
Experience: At least 2 years of proven experience in HR administration and personnel documentation.
Skills: Exceptional attention to detail, accuracy, and strong organizational skills when handling paperwork.
Languages: English proficiency at B2 level or higher (both written and spoken), and Russian level (C1).
Soft Skills: Outstanding, friendly communication skills and a collaborative mindset.
Nice to have:
Prior experience working in an international company.
Experience with HRMS platforms (e.g., HiBob).
